Privacy notice

Last updated 11 October 2026

This notice explains how Code Colonies Private Limited ("Code Colonies", "we") handles personal data when you use codecolonies.com. We wrote it in plain language. If anything is unclear, write to consulting@codecolonies.com.

Who we are

Code Colonies Private Limited, 1214 to 1217, i-Square Corporate Park, Science City Road, Ahmedabad 380060, Gujarat, India. For the purposes of the Digital Personal Data Protection Act 2023, we are the data fiduciary for the personal data described here.

What we collect

  • Details you give us in forms: name, email, phone, company, country, industry and what you tell us about your project, role or application. For job applications, the resume you choose to upload.
  • Conversations with Colony, our AI guide: the questions you type and any details you choose to share.
  • Results of our free tools when you ask us to send or review them.
  • A theme preference stored in your own browser, if you switch between light and dark mode.
  • How you found us, such as a search engine, a campaign link or a referring website, and the first page you opened. This is kept in your browser for the current visit only and reaches us only if you submit a form, as part of that enquiry.

We do not use advertising or tracking cookies. We count page views, see which tools and forms are used and measure how fast pages load with analytics that set no cookies and do not identify you. Photos on some pages are loaded from the Pexels image service, which receives standard technical details such as your IP address to deliver them.

Forms on this website use Cloudflare Turnstile to check that a visitor is human. Cloudflare processes technical signals from your browser and device for this, such as your IP address, under its own privacy policy. When you submit a form, we also check that the domain of your email address can receive mail, by looking up its public mail records.

Why we use it

  • To reply to your enquiry, prepare for a call and send you what you asked for.
  • To keep a record of your enquiry and our conversation in our CRM.
  • To assess job and Academy applications.
  • To send our monthly notes, only if you subscribe.
  • To keep the website secure and prevent misuse.

We rely on your consent, given when you submit a form or start a conversation, and on legitimate uses permitted by law, such as security.

Who we share it with

These services process personal data for us, each for the purpose given:

  • Our hosting provider delivers the website and receives the standard information every browser sends with a request, such as your IP address.
  • Resend sends your enquiry to our team by email and, once we switch it on, an automatic reply to you confirming that we received it.
  • HubSpot is our customer relationship management (CRM) system. We record your enquiry there so the right person can follow it up and we keep a record of our conversation with you.
  • Cloudflare Turnstile checks that a form is sent by a person, using technical signals from your browser and device, such as your IP address.
  • Google Calendar and Google Meet are used when you book a meeting. Your name, email and the time you chose go into a calendar invitation with a Google Meet link.
  • Vercel Web Analytics and Speed Insights count page views and measure how fast pages load while the website is hosted on Vercel. When the website is self-hosted, we use Umami analytics, run on our own server, instead. None of them sets cookies or identifies you.
  • Anthropic provides the AI model that writes Colony's answers, when Colony is connected to it. The question you type is sent to it, so please do not type personal details into Colony.
  • Pexels serves some of the photographs and receives your browser's standard request information when an image loads.

Some of these providers may process your data outside India.

When Colony uses an AI model, your messages are processed under enterprise terms that do not allow training on your data.

We do not sell personal data.

How long we keep it

  • Enquiries and tool results: up to 24 months, or longer if you become a client and our contract requires it.
  • Job and Academy applications: up to 12 months, unless you join us.
  • Newsletter: until you unsubscribe.

Your rights

You can ask to access, correct or erase your personal data, withdraw consent at any time, and nominate someone to exercise your rights. You can also raise a grievance. Write to consulting@codecolonies.com with the subject "Data request". We will verify the request and respond within the timelines set by law. If you are not satisfied, you may approach the Data Protection Board of India. People in the EU or UK may contact their local supervisory authority.

Children

This website is not intended for children. We do not knowingly collect personal data of anyone under 18.

Security

We use HTTPS, strict security headers, access controls and spam protection on all forms.

Changes

We will update this notice when our practices change and show the date of the latest version at the top.
